Enabling Hotdesking for an Extension

Hotdesking allows multiple users to log in and out of the same phone. This feature is enabled only for polycom phones.

To enable or edit the hot desk option on an extension:

In the Web Portal, have your account administrator login, and then select Settings in the menu, then select Extensions.


From here, select the extension you wish to look at, then select the Advanced tab.


Toggle the Allow Hotdesking option to Yes.

Enter in a Hotdesking Password (Polycom only). Note: It is recommended to use numbers only for the password 

Select Update Extension and you are good to go!

Once that is done, select Devices

Then select your Polycom/Yealink phone and click on "Show Advanced Options"

In the drop-down menu, toggle Allow Hotdesking "ON"

Click Save and then Reload Configuration

Logging Into Your Extension


To log into your Polycom phone, please follow the steps listed below:

1. Hit the More soft key

2. Hit the Log In soft key

3. Hit the Checkmark button to start user entry

4. Press # two times to change to numeric typing

5. Enter extension number you are logging into

6. Press OK when done, then down on the directional pas to enter password

7. Hit the Checkmark button to start password entry

8. Enter password (default password is 1234)

9. Hit OK, then left on the directional pad, and confirm log in

To log out of your Polycom Phone, please follow the steps listed below:

1. Hit the More soft key

2. Hit Log Out

3. Confirm log out


1. To add the "HotDesking" key to the Yealink, long press on a blf key slot.

2. Then select "Key Event" >under key type select "HotDesk"

After the key is set:

1. Select the HotDesk key

2. Use the SIP Username and SIP Password (Found under Settings Extension > Softphone)

3. Save

The extension shall now appear under the time and date!
